Copy E-mail Addresses from eLion

In the event that ANGEL is unavailable, instructors may wish to contact their students via e-mail. Instructors can obtain a list of the Penn State e-mail addresses of all students enrolled in their classes through eLion and use this list to send a message. Please note that the list in eLion includes only those students who have officially registered for the class in ISIS, the Registrar's database. The e-mail addresses for any individuals you may have manually added to a class in ANGEL will not be available through eLion.

To copy e-mail addresses from eLion:

  1. Log in to eLion.
  2. Select Class Lists from the menu on the left.
  3. Select the current semester, then click Continue.
  4. Select the class, then click Retrieve Class List.
  5. Scroll to the bottom of the page. Click E-mail class list (e-mail distribution format).
  6. The e-mail addresses and names of your students will be shown. Select/highlight the addresses and names, then right-click with your mouse (control-click on Macs) and select Copy.
  7. Paste the addresses and names into the Bcc (blind carbon copy) field of a new message.

    Note: You are strongly encouraged to use the Bcc field rather than the To field so that the recipients will not see each other's e-mail addresses. This will prevent the recipients of the message from using the Reply All button in their e-mail application to send e-mail to everyone in the class.

Be aware that if you are sending mail using smtp.psu.edu or authsmtp.psu.edu as your outgoing mail server, you can only include 100 recipients per message. If the class has more than 100 students, you will need to send messages to groups of 100 students at a time. If a different outgoing mail server is being used, such as one provided by your Internet service provider (ISP), the limit on recipients may be lower or higher. If you are not sure, please check with your ISP’s support staff before sending your message.

Following are instructions for sending messages using Penn State WebMail, Outlook 2007, Thunderbird, and Apple Mail.

Penn State Webmail

The format used for the e-mail addresses shown in eLion will not work correctly in Penn State WebMail. It is recommended that you use Outlook 2007, Thunderbird, or Apple Mail.

If you prefer to use WebMail, to send a message:

  1. Paste the e-mail addresses into a text editor such as Notepad. Remove the parentheses and names from each line so that only the e-mail addresses remain. Insert a comma after each e-mail address and remove the paragraph breaks so that the e-mail addresses are all on the same line.
  2. Select the list of e-mail addresses, right-click, and select Copy.
  3. In WebMail, select the compose link to create a new message.
  4. Select the Add bcc link beneath the To field.
  5. Right-click in the BCC field, then select Paste.
  6. Enter a subject and body for the message.
  7. Click the Send button.

Outlook 2007

To send a message using Outlook 2007:

  1. Click the New button.
  2. Select Options in the ribbon, then Show Bcc.
  3. Right-click in the Bcc field, then select Paste.
  4. Enter a subject and body for the message.
  5. Click the Send button.

Thunderbird

To send a message using Thunderbird:

  1. Click Write.
  2. Select the arrow to the left of the To field.
  3. From the menu, select Bcc.
  4. Right-click in the Bcc field, then select Paste.
  5. Enter a subject and body for the message.
  6. Click Send.

Apple Mail

To send a message using Apple Mail:

  1. Click New Message.
  2. From the View menu, select Bcc address field.
  3. Right-click in the Bcc field, then select Paste.
  4. Enter a subject and body for the message.
  5. Click Send.
